Methodology
1. Normalize the volume. Calls, arrivals, outbound work, verifications, authorizations, and follow-ups are converted to a daily workload using the operating days entered.
2. Estimate real-time and administrative work. In the quick model, the calculator uses a planning ratio of about 100 live interactions per receptionist per day, 300 administrative minutes per receptionist, peak-hour capacity, and minimum shift coverage. In the advanced model, it calculates workload from the minutes entered for each task.
3. Protect the peak. The recommendation cannot fall below the staffing needed for the busiest hour or the minimum coverage needed across the operating day.
4. Apply productive capacity. Advanced estimates reduce each shift by the nonproductive-time assumption and the target-utilization setting. This creates working capacity rather than assuming every paid minute can be assigned to a task.
5. Compare costs. Traditional cost is current receptionist headcount multiplied by the loaded annual salary entered. HiBridge cost is estimated receptionist staffing plus the monthly per-location platform amount entered. Optional domestic and overseas staffing values replace the single staffing assumption when selected.
Editable starting defaults. The current tool begins with 1.37 minutes per call, 3 minutes per assisted arrival, 1.5 minutes of post-interaction work, 20 percent nonproductive time, 80 percent target utilization, 12 percent of daily interactions in the peak hour, 8 minutes per verification, 20 minutes per new authorization, and 7 minutes per authorization follow-up. These are editable planning assumptions, not promises or universal industry standards.
What is not included automatically. Recruiting fees, benefits, payroll taxes, overtime, equipment, local management time, turnover, training, downtime, and industry-specific compliance costs are included only if the user builds them into the salary or workload entries.
How to read it
The model knows arithmetic. It does not know that your Tuesday morning is unusual, that one location has a difficult parking situation, or that your authorizations take twice as long as the benchmark because of one payer.
So treat the output as a starting position for a conversation, not a conclusion. The range between the lean and high-support figures is the honest part of the answer.
