Moving a front desk off site raises real questions about who sees what, where information goes, and who is on the other end of the screen. This page says what is published today, and tells you plainly where the answer is a document rather than a web page.

Our position

Compliance claims belong in contracts, not headlines

It is easy for any vendor to put a compliance badge on a marketing page. It is considerably harder to hand a prospective customer the actual documentation, and that is the only version that protects you.

So this page does two things. It explains how privacy works differently at a virtual desk, which is a design question we can answer here. And for anything that belongs in your compliance file, a BAA, access controls, data handling, retention, the current state of certification, it tells you to ask us, and we will send the real document.

The visitor enters their own details

Names, dates of birth, and balances are typed on a kiosk rather than read aloud across an open counter to a waiting room.

One conversation, not a queue

A visitor speaks to one receptionist on screen rather than in front of the people waiting behind them.

Access is granted, not assumed

Receptionists work inside your systems only through the access you configure for the role.

Payments captured at the device

Card capture happens at the counter hardware rather than by reading a card number to someone.

Is HiBridge HIPAA compliant?

HIPAA is a core design constraint of the platform and the subject of a full recorded webinar in our library, covering how Rose City Physical Therapy pairs HiBridge with a HIPAA-compliant healthcare virtual assistant. For your own compliance file, including a Business Associate Agreement and the current state of any certification, ask us and we will send the actual documentation rather than a marketing claim.

Who can see our visitor or patient information?

The receptionists you authorise, through the access you grant them, and no one else. Where a receptionist works inside your scheduling system or EMR, that access is configured by you and scoped to the role.

Is the video conversation recorded?

Tell us your requirement and we will confirm the current behaviour and options for your configuration in writing. We would rather answer this precisely for your setup than publish a blanket statement.

What happens if the connection drops?

Downtime is one of the objections we address directly in a recorded webinar on virtual reception, rather than pretending it never happens. Ask us about redundancy for your specific setup during the demo.

Is a virtual desk more or less private than a staffed counter?

In one important respect, more. A visitor entering their own details on a kiosk is not reading them aloud across an open counter within earshot of a waiting room, and a conversation with one receptionist on screen is not overheard by the queue behind them. One of our patients, Leonard Wheeler, made exactly that point about his own visit.
